Operating System
The 3-touchpoint rule
After every meeting: send a recap, set the next step, and request what you need. When it’s consistent, clients feel taken care of and tasks don’t slip.
Quick tip
Pick one routine, run it for 2 weeks, then add the next. Consistency compounds.
How to apply this
Use these steps as your simple operating system.
Touchpoint 1: Recap (same day)
Summarize decisions and confirm expectations while it’s fresh.
- Keep it short: what was discussed, what was decided
- Include any dates or commitments
- Save it as a template in your CRM
Touchpoint 2: Next step (before you end the meeting)
If there’s no next action, the meeting didn’t move anything forward.
- Create a task during the meeting
- Assign an owner (even if it’s you)
- Set a deadline that makes sense
Touchpoint 3: Document request (one clear list)
One tidy checklist beats five separate emails.
- Group documents by category
- Give examples of acceptable documents
- Set one deadline and one upload/return method
